Private Fire Hydrant Maintenance Checklist

Make sure the fire service gets water when it arrives — hydrant access and markers, valve operation, flow and pressure testing and the annual inspection to BS 9990.

Also available as editable Excel and Word — with asset, sign-off and findings columns.

What is a fire hydrant maintenance checklist?

A private fire hydrant maintenance checklist is a structured list of the 8 preventive maintenance tasks — covering visual, functional, cleaning and record-keeping checks — that keep a private fire hydrant running safely and reliably. It groups routine checks by frequency, from daily inspections to annual servicing, so FM teams and building engineers can plan and evidence preventive maintenance.

Core fire hydrant checks

  • Confirm each hydrant is accessible, unobstructed and not parked over
  • Operate the valve through its full travel and check it closes fully
  • Open the hydrant pit cover and check it is free of debris and water
  • Update the hydrant location plan and test records

What is a private fire hydrant?

Private fire hydrants are the underground or pillar hydrants on a site's own water main, provided so the fire service can draw water on large sites, business parks and estates. Unlike public hydrants, which the water company maintains, private hydrants are the site owner's responsibility. BS 9990 covers their maintenance: they should be inspected and flow and pressure tested at least annually, and kept accessible and clearly marked.

This checklist is one of 19 in our fire safety maintenance checklists, covering fire dampers, alarms, emergency lighting, sprinklers, risers and fire doors — the statutory checks and their records.

Typical Fire Hydrant maintenance checklist

A practical starting point for planned preventive maintenance. Always refer to the manufacturer's O&M manual and site-specific requirements.

Visual Checks

  • Confirm each hydrant is accessible, unobstructed and not parked over
  • Check hydrant marker plates and posts are present, correct and legible
  • Check the outlet thread, cap and chain are undamaged

Functional Checks

  • Operate the valve through its full travel and check it closes fully
  • Flow test and record pressure and flow against the design requirement
  • Confirm frost protection and drainage of pillar hydrants

Cleaning & Housekeeping

  • Open the hydrant pit cover and check it is free of debris and water

Record Keeping

  • Update the hydrant location plan and test records

Typical maintenance frequency

Suggested intervals for private fire hydrant maintenance. Actual frequencies should follow manufacturer guidance and site-specific risk assessments.

Monthly

  • •Check access and markers
  • •Report obstructions

Annually

  • •Full inspection to BS 9990
  • •Valve operation
  • •Flow and pressure test
  • •Update location plan

Common faults and issues

Issues to be aware of when maintaining private fire hydrant equipment.

Hydrants parked over or hidden under landscaping
Missing or wrong marker plates so the fire service cannot find them
Seized valves that have not been operated for years
Pits full of silt and water
Flow well below design after changes to the site main

Safety and compliance notes

Key safety considerations for private fire hydrant maintenance. This is general guidance only — always follow OEM instructions, statutory requirements, and your organisation's safe systems of work.

Notify the water supplier and fire service before flow testing where required
Manage run-off from flow tests to avoid flooding and pollution
Report any defective hydrant to the local fire and rescue service

How PM Assist helps

Managing Fire Hydrant documentation with PM Assist

PM Assist helps FM and building operations teams search their O&M manuals and building drawings in seconds. Upload your private fire hydrant documentation and ask questions like “Where are the fire hydrants on this site?” or “When were the hydrants last flow tested?” — and get source-cited answers instantly.

The checklist tells you what to check. The manual tells you the numbers.

Ask a fire hydrant manual a question and get the answer back with the page it came from. No signup, and you can drop in your own PDF instead of the sample.

“Where are the fire hydrants on this site?”

Runs against a sample chiller manual so you can see the shape of the answer — then try it on one of yours.

Compliance & CAFM

Run private fire hydrant maintenance in PM Assist

This checklist is also a planned maintenance programme in PM Assist, included in every paid plan alongside the compliance register and mobile inspections.

  • Add a private fire hydrant to a building's asset register and this maintenance programme is created for you, with each task on its frequency in the planner.
  • Private Fire Hydrant Inspection & Test is tracked on the compliance register, with the date last done, the date next due and the certificate.
  • Contractors can be given a login to see their jobs and upload certificates.

Frequently asked questions

Who maintains a private fire hydrant?
The site owner or occupier. Public hydrants on the water company's main are maintained by the water company and fire service, but hydrants on a private main are the responsibility of whoever owns that main, and should be maintained to BS 9990.
How often should fire hydrants be tested?
BS 9990 recommends inspection and flow/pressure testing at least annually, with access and markers checked more frequently. The results should be recorded against a plan showing each hydrant's location.
What flow should a fire hydrant give?
It depends on the site's design and the fire service's requirements, which are set when the hydrant is provided. The annual flow test compares measured flow and pressure against that design figure; a significant shortfall is a defect to investigate.
