What actually changes between sectors

Less than people expect, at the plant level. An air handling unit in a hospital is maintained much like an air handling unit in a university block, and both sit under the same core UK duties: ACoP L8 for water systems, the Regulatory Reform (Fire Safety) Order for fire, the Control of Asbestos Regulations duty to manage in pre-2000 buildings, and periodic fixed wiring inspection to BS 7671. What changes is the layer stacked on top, and who carries the consequence. The document burden differs in shape more than in size. A hospital trust holds decades of HTM validation records and authorising engineer reports. The failure mode is identical in all three: the record exists, and nobody can find it inside the window that matters.

The common thread: finding the document

Whatever the sector, the same question gets asked at the same moments: what is the service interval for this unit, what did the last test find, which valve isolates this circuit, and where is the certificate the auditor is asking for. That is a retrieval problem, and it is the reason moving from reactive to planned maintenance stalls so often — a PPM regime is only as good as the asset information behind it.

Most estates already hold the answers. They are in O&M manuals, commissioning sheets, and BMS records spread across shared drives and inboxes, which is why folder-based storage and CAFM systems that index jobs rather than documents both leave the same gap. Sector-specific work like AHU cleaning, chiller maintenance scheduling, and energy management reporting all depend on it.
