The Portfolio Problem
Compliance across a portfolio is not the same job as compliance in one building, and tools designed for one building handle it badly.
The duties differ by block. A 1960s tower with a stay-put strategy, a converted mill with a commercial ground floor and a six-unit conversion carry different obligations, and a single checklist applied to all three is wrong in both directions. Reporting has to work at two levels at once: a portfolio view for the compliance lead and a single-building view for the property manager and the freeholder. And the certificates arrive from dozens of contractors in dozens of formats, usually by email, and are filed by whoever opened the message.
The result is that a portfolio's real compliance position is usually unknown, and is discovered building by building when something happens.
Every Block, Worst First
The portfolio view lists every building by how bad its position is, with the count of duties that are expired, missing or overdue, and the number of overdue remedial actions. The headline percentage is computed across every duty in the portfolio rather than by averaging the buildings, so a handful of tidy blocks cannot mask a problem one.
Each building carries its own profile — property type, whether it is a higher-risk building, the number of residential units — and its duties follow from that. Higher-risk blocks carry the Building Safety Act golden thread duties alongside the rest; blocks that are not higher-risk do not see them.
When a freeholder or a client asks for a position on one building, the compliance report for that building can be drafted from the register for an internal, client or board audience — and it covers that building only, because a report on one block listing another block's failures is a confidentiality problem the moment it is forwarded.

Certificates Arrive From Contractors, Not From You
Contractors can be given a login that shows only the jobs assigned to their company, in blocks assigned to their company. They report a job complete with notes and upload the certificate directly, which removes the step where a PDF sits in somebody's inbox waiting to be filed.
What they upload goes into the building's document store and is indexed like anything else, so it becomes searchable rather than becoming an attachment. And a contractor can report work complete but cannot close it: closing requires the managing agent to hold the evidence and agree, which keeps the check that an auditor tests.
For the certificates that arrive the old way, AI can read them. Upload a fire risk assessment and its remedial actions can be extracted with the page each came from, graded on the assessment's own scale. Nothing it extracts counts until somebody has checked it against that page.
